The Diversity, Equity, and Inclusion (DEI) Office Assistant for Institutional Diversity, Equity, Advocacy and Leadership (IDEAL) assists the Administrative Specialist in office operations. This role is commonly referred to as the DEI Assistant and is eligible to undergraduate and graduate students at the institution.

This is an integral role that assists with managing calls, responding to emails, and providing inventory as needed for office supplies. Additionally, this role works directly with the reservation and workshop approval systems providing DEI resources to the campus community.

Answer calls from internal departments and partners outside of Temple University
Have advanced communication skills when speaking and greeting campus partners (i.e., students, faculty, staff, community members, etc)
Answering questions received via the office's email, telephone, in person, etc.
Troubleshoot and resolve general office issues
Strong interpersonal skills via phone, face to face, and email along with the ability to effectively communicate and interact with a diverse population of students, parents, staff and faculty, and community.
Keep up to date on departmental regulations, policies, and procedures related to department activity
Provide administrative support for professional team (i.e. special tasks and projects, phone calls, inventory)
Perform varied, complex clerical functions requiring individual analysis
Monitor and respond to emails in an efficient timeframe
Schedule workshops and building reservations
Set-up and break down of spaces for reservations
Maintain the office's Outlook calendar to ensure all programs, dialogues, and events are listed
Table as needed on behalf of the office
Effective opening and closing of office spaces (i.e. de-alarming the suite during the morning, securing the building during the evening)

General Qualifications

Advanced knowledge in the performance of clerical functions, office practices and procedures, and operation of office equipment and machines (i.e., fax, copier, telephone, and scanner)
Effective interpersonal and communication skills and ability to interact with a diverse population in person and on the phone
Must possess the ability to interpret, carry out, and transmit general instructions and procedures
Strong organizational and problem-solving skills, along with the ability to multitask
Strong analytical skills
Adhere to FERPA regulations as they pertain to maintaining the security and confidentiality of all student records
Demonstrate the ability to multitask, prioritize assignments, and work in a high-paced environment in a professional manner
Excellent documentation ability with a high level of detail
Working knowledge of Microsoft Office Suite, Remedy, Basecamp, Canvas, and other university systems

Graphic Design, Intern

The Graphic Design Internship for Institutional Diversity, Equity, Advocacy and Leadership (IDEAL) assists the creative leadership team in developing digital assets for branding and office awareness. This role will assist in producing digital graphics and print designs that highlight programs, brochures, flyers, services, and office resources.

This role is responsible for assisting in researching, planning, organizing, and executing projects from beginning to end, as well as working collaboratively among a student and professional staff team. The ideal incumbent for this role will understand inclusivity and belonging as well as how these intersect with graphic design principles.

Create and design print and digital materials that appeal to our audiences, attract audiences, and boost brand awareness
Adhere to brand guidelines and complete projects according to deadline
Retouch and manipulate images
Respond in a timely manner to all projects inputted into the project management system
Create assets that meet appropriate sizing for social media accounts
Use graphic design software and work with a wide variety of media
Collaborate with the creative team leadership to develop design concepts
Receive feedback from the team leadership and make necessary revisions
Assemble final presentation material for printing as needed

Marketing, Intern

The Marketing Intern for Institutional Diversity, Equity, Advocacy and Leadership (IDEAL) assists the DEI, Marketing Coordinator in developing written and digital copy for their effort to further develop the office's mission and vision.

This role is responsible for assisting in researching, planning, organizing, and executing projects from beginning to end, as well as working collaboratively among a student and professional staff collective. The ideal incumbent for this role will understand inclusivity and belonging as well as how these intersect with marketing copy development.

Deliver quality written pieces that appeal to our audiences, attract audiences, and boost brand awareness
Ideate new content types and proofread content before publication
Assist in scheduling events and programs on OwlConnect, etc.
Monitor global, local, and campus news for potentially spontaneous content development
Assist Marketing Coordinator in researching best practices in social media usage, and developing / presenting monthly social media statistics
Monitor messages, reposts, reports received on social media, and answer questions and respond to comments from engagers
Live post to social media to promote ongoing events and throughout the duration of events

The Digital Content Intern for Institutional Diversity, Equity, Advocacy and Leadership (IDEAL) assists the Marketing Coordinator in developing multimedia content to engage audiences and further develop the office's mission and vision.

This role is responsible for assisting in researching, planning, organizing, and executing projects from beginning to end, as well as working collaboratively among a student and professional staff collective. The ideal incumbent for this role will understand inclusivity and belonging as well as how these intersect with digital marketing and engagement.

Assist with filming, recording, and editing video content for IDEAL’s social media, events, and campaigns
Support podcast production, including setup, recording, editing, and publishing
Edit audio and video with attention to clarity, accessibility, and storytelling
Serve as an on-camera personality or voice talent for select projects and social content with engaging, authentic, and inclusive messaging
Contribute to scripting and storyboarding for video and podcast projects
Research trends in digital storytelling, podcasting, and video marketing to bring in fresh ideas
Assist in managing media equipment, organizing digital assets, and maintaining a content library
